“Dear Valued Customer,
On July 2, 2012, Canson North America will be changing our computer system from J.D. Edwards to SAP. The move to SAP is a Groupe Hamelin initiative designed to provide Canson and its customers with the most comprehensive business technology solution. This technology base will establish a state of the art solution to carry the growth and advancement of the entire group into the future. Our team in South Hadley has been working towards the implementation for nearly one year in order to make the transition as seamless as possible.
As we head into the implementation I want to clearly outline the process and provide you with an overview of the process and some key dates. The following is the cut-over calendar for the Go Live:
- June 18 – All new customer Drop Shipment orders received, with an expected ship date after July 1 will be entered directly into the SAP system
- June 22 – Final shipping will take place in our current system. The volume that we expect to ship this week will be limited as no orders can remain in process for the cut-over.
- June 25 – June 29, all shipping activities will be down and no Drop Shipment orders can be processed. Drop Shipment orders that will remain in our existing system will be electronically transferred into SAP.
- July 2 – Go Live Day
- July 3 – Initiate shipping in SAP. During this week we expect our shipping capacity to be at a rate of 25% of normal shipping levels. During our conversion we will be adding additional staff and we will extend our work hours to improve on our expected efficiency.
- July 9 – During this week we expect our shipping capacity to be at a rate of 40% of normal shipping levels.
- July 16 – During this week we expect our shipping capacity to be at a rate of 75% of normal shipping levels.
- July 23 – During this week we expect our shipping capacity to be at a rate of 85% of normal shipping levels.
- August 1 – We expect to be at near normal shipping levels of performance.
Despite all of our preparations we expect that there will be some disruptions in our service levels. We will do everything possible to minimize these issues and return to the normal high shipping rates that you expect from Canson. One area that you can expect to see changes will be in the documentation provided to you by Canson.
This conversion is a major undertaking by Canson and Groupe Hamelin and will help insure the commitment to providing the highest quality products and services. Through this transition into SAP and into the future we stand ready to answer your questions.
Best regards,
James J. ALLERY, President & CEO
